Estimate a load and review the month

An Excel workbook for owner-operators and dispatchers working with one truck’s numbers. Enter your own costs and mileage to estimate cost per mile, test a proposed load and review recorded revenue and expenses.

The kit includes six tabs: Start Here, Cost Per Mile, Load Calculator, Monthly Tracker, Summary and Trends.

Plan fuel, fixed costs, reserves and average driver pay; compare cost per mile at different monthly mileage levels.

Estimate a proposed load using total miles including deadhead, loaded miles, revenue, driver pay, trip costs, dispatch and factoring fees, and days required.

Review break-even and target-margin rates, plus estimated surplus per mile and per day.

Record completed loads and monthly expenses, then review load contribution, monthly operating surplus, actual cost per mile and trends.

The workbook has room for 1,000 load records and 60 monthly expense records. Clear the fictional examples before use. The Load Calculator does not keep an estimate history; completed loads are entered separately in Monthly Tracker.

Estimates depend on your assumptions. Recorded results depend on the loads and actual costs you enter. Load contribution is before monthly overhead; operating surplus also deducts recorded monthly expenses. Owner labor is not automatically valued. Owner compensation, taxes, depreciation, loan principal and payment timing need separate consideration.

This is a planning and recordkeeping tool. Operating surplus is not accounting net profit or cash flow, and profit is not guaranteed. The workbook does not provide legal, tax, accounting or financial advice.

One-time digital purchase. CarrierOS is separate and is not required.
